EANS Services and Assistance After End of Period of Performance

NCDPI Accounts Payable Reminders for EANS:

Reminder about Invoices:

If your school receives any invoices directly from vendors, please send the invoices to AccountsPayable@dpi.nc.gov so the vendors can be paid. The invoice must be written to reflect DPI as the one that is being invoiced, not your school.  If the invoice/bill is written to your school and not written to NCDPI, then NCDPI cannot pay the invoice.  NCDPI is receiving a lot of calls from vendors asking about payment and NCDPI has not received the invoice that need to be paid.

Updated Process for Invoices:

DPI has updated the approval process for EANS tutoring invoices, see below.  Please note that an approval of an invoice is necessary for payments. These approvals may be sent to accountspayable@dpi.nc.gov with the invoice attached.

      1.    Invoices will be sent to each school for approval from the tutoring vendor once services have been rendered.

      2.    Tutoring vendor MUST include the invoice and time sheet(s). The time sheets should have been previously approved by your school. The time sheets should match the invoice dates and rendered time.

   3.   The dates of service as well as the contracted description MUST be documented on the invoice.

Issues or questions on tutoring invoices should be directed to the tutoring vendor.  Please send any questions or concerns on this process to accountspayable@dpi.nc.gov.

Reminder about Packing Slips:

Please send NCDPI the packing slips as documentation (PDF file) when items are received by sending an email to let us know your school has received the items, so NCDPI will know your school is in receipt of the items and the e-procurement request can be marked as complete.  If the items are not received and marked in E-Procurement then NCDPI cannot pay the invoice.   Send packing slips/email when items are received to AccountsPayable@dpi.nc.gov.
